Evaluating Management Systems

Description of Management System

The management system of a company should have a clear operation plan and outline of its vision and goals. The system should also be well-defined with well-connected chain of command (Rollins, 2015). Additionally, the marketing department of the company need an effective customer review system which allows the company to assess its product performance in the market. Apart from that, employees’ evaluating and rewarding system is required to facilitate rewarding of the well-performing employees (ManagementSystems, 2012). Clear job descriptions is also a requirement in every department to help in recruitment and staffing processes.

Evaluation of Management System

The presence of a working plan in the company helped to focus all operation activities and projects towards achieving business objectives. This avoided wastage of time and company resources.

The effective communication system was very essential in informing the management about problems at operation level which allowed timely repair and maintenance (PB, 2012).

The roles and responsibilities of all workers were well defined (Hadfield, 2012). However, during low production seasons, the company allowed employees to swap tasks in order to avoid operation breakdown in case a particular employee was unavailable (Hadfield, 2012).

The effective and well-organized bookkeeping mechanism ensured that operational data was well documented to allow referencing, evaluation as well as generation of financial statements of the company.

Possible Improvements to the System

Processes

The company had well-organized operation which was overseen by supervisors and guided by the company’s plan (Hadfield, 2012). However, there was no internal audit team to monitor operations. The company should establish a strong internal audit team to monitor and evaluate operation progress based on the company plans. This would help to correct any deviations that arise in the operation process (ASQ, 2017).

Employees and Treatment

The duties of every employee were clearly defined (Hadfield, 2012). This allowed efficient process operation and maximization of output. The company also considered applicants’ education and experience backgrounds during the recruiting process which improved staffing of the company. However, employees questioned the annual employee rewarding process and considered it as unfair. The company should adopt 360-degree performance evaluation to ensure unbiased presentation of awards and promotions to all employees, regardless of their religion, ethnicity or gender (PB, 2012). This would improve employee motivation and increase productivity because the technique allows employees to take part in the evaluation process.

Data Documentation

The company had a reliable bookkeeping mechanism which allowed quick retrieving and referencing of stored data. However, the documentation was not well dated and signed and processed in several copies (Rollins, 2015). The company should ensure that all documented data is signed by the bookkeeper and managers before filing.

Alignment with Organizational Culture

The company had a flexible management system that was compatible with its operations. Flexibility enabled employees to exchange roles which helped to reduce boredom (Hadfield, 2012). In order to improve its operations, the company should consider introducing of team building activities and annual parties (Rollins, 2015). This would help cultivate and improve the relations between the employees and management.

A good management system helps to build and improve employee-management rapport in a company. Therefore, every company should adopt the best and suitable management system for their organization and most importantly, a system which includes employee participation in its implementation (Biswas, 2013).
