You are the head of IT Department of Come&Shop.com, an online shopping site offering completely hassle-free shopping experience through secure and trusted gateways. Your site showcases products from all categories such as clothing, footwear, jewelry, accessories, electronics, appliance, books, restaurants, health & beauty, and many more. You deliver 250 to 300 orders daily, both inside and outside of Dhaka.
On October 25, 2018 a computer virus attacked the full computer network at Come&Shop.com. This virus halted all online ordering for 48 hours and disrupted all phone orders, since the entire ordering system was down. This incident resulted in a huge loss for the company. Your company was not set up for phone orders, and the sales people were unable to help customers even when they called in to place orders. The sales team were unprepared to give customer service, and should have been better trained.
As the head of IT department, your job was to identify the problem and get the network back up and running. Upon investigation you found that an employee downloaded some illegal files that contained the virus. Also, a number of computers did not have updated anti-viruses installed, leading to this incident. You had already approved of the updated anti-virus software in June 2018, and at that time the cost of the software was very low. Due to the negligence of the Purchase Officer Ms Taslima, the software was not bought for the past 3 months. Ordering this software now will cost double the original price. This is a serious matter. The Head manager of IT department, Mr. Mahbub Rahman, is responsible for the incident as well , as it is his duty to oversee the smooth operation of the computers.
Prepare an Incident Report in MEMO format to the CEO of Come&Shop.com, Mr. Asif Khan. Outline the reasons behind the incident and offer several recommendations to fix this situation. If you need to, suggest how to handle the issue of the two employees –Ms Taslima and Mr. Mahbub Rahman. ALSO suggest other measures your company should take to improve performance.
